What is the Dashboard?

The Dashboard is your command center — a real-time snapshot of how your practice's marketing and patient flow is performing. Every time you log in, start here to see what's working, where leads are dropping off, and whether your BiteBot system is running the way it should.

The default view shows the Last 30 Days, but you can change the date range using the filter in the top right. You can also use Quick Filters to narrow down by specific campaigns, pipelines, or lead sources.

 

Section 1: Lead Generation Performance

This is the first section you'll see at the top of the Dashboard — a row of five key metrics:

  • New Leads — Total new contacts who came into your system in the selected period

  • Booked — How many of those leads booked a consultation appointment

  • Showed — How many booked appointments actually showed up

  • Pipeline Value — The total estimated treatment value of all active leads in your pipeline

  • Treatment Closed — Number of patients who said yes and closed a treatment

? Tip: If "Booked" is high but "Showed" is low, your AI Text Bot follow-up sequence may need tuning. Contact support for help.

 

Section 2: Facebook Ads Report & Google Ads Report

These two panels give you a quick view of how your paid ads are performing directly inside BiteBot — no need to jump into Facebook Ads Manager or Google Ads separately. You'll see spend, impressions, and lead volume broken down by platform.

 

Section 3: Lead Sources

A donut chart showing where your leads are coming from — Facebook, Google, direct traffic, referrals, and more. This tells you which marketing channels are actually driving new patients into your system.

 

Section 4: Daily Lead Volume

A line graph showing how many new leads came in each day during the selected period. Use this to spot patterns — like which days of the week perform best, or whether a new ad campaign caused a spike in leads.

 

Section 5: Lead Source Report

A more detailed breakdown of lead sources by pipeline stage. This helps you understand not just where leads are coming from, but how far they're getting in your follow-up process by source.

 

Section 6: Conversations & Call Reports

This section covers all the communication activity in your account:

  • Last Message Distribution by Channels — A donut chart showing the split between SMS, Email, and Calls

  • New Conversations Started (This Week) — How many fresh conversations your AI Text Bot or team opened

  • Inbound Calls — How many calls came in, and how many were answered vs. missed

  • Outbound Calls — Calls made out to leads by your team or AI Voice Receptionist

? Tip: If your Inbound Missed calls are high, activate your AI Voice Receptionist to stop losing leads after hours.

 

Section 7: Appointments Tracking

  • Upcoming Appointments for Next Week — See what's on the books so you can prepare your team

  • Last Month Booked Appointments — A historical view of bookings from the previous month

 

Section 8: Patient Pipeline

The bottom of your Dashboard shows your lead pipeline broken down by stage:

  • Funnel — A visual funnel showing how leads move from "New Lead" through to "Treatment Closed," with conversion rates at each step

  • Stage Distribution — A pie chart showing where your current active leads are sitting right now

Use this to find your biggest drop-off point. If most leads are stuck in "Non Responsive Leads," your re-engagement sequences need attention.

 

Customizing Your Dashboard

Click Edit Dashboard in the top right corner to add, remove, or rearrange sections. You can also use the Manage View button to filter by specific team members or lead types.
